CleanTably ("we", "our", or "us") is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights — written in plain language, not legalese.
Information We Collect
We collect only what's necessary to provide and improve the service:
- Email address: When you use CleanTably Free beyond your first session, we ask for your email to deliver results and notify you of accuracy improvements.
- Uploaded documents: PDF, PNG, or JPG files you upload for conversion. These are processed by our AI extraction system and handled according to your plan tier (see "How We Handle Your Documents" below).
- Usage data: Anonymous analytics including pages visited, features used, session duration, and browser type. Collected via Google Analytics and Microsoft Clarity.
- Device and visit data: We use localStorage and hashed identifiers to recognize returning visitors and provide a better experience. We do not use this for advertising.
How We Handle Your Documents
Free tier: Documents you upload are processed by our AI system to extract structured data. To continuously improve extraction accuracy for all users, a sample of anonymized structural metadata (document layouts, header patterns, and table formats — never personal, financial, or sensitive content) may be retained to improve how our system reads different document types. Original files are deleted within 48 hours of processing.
Paid tiers: Your documents are processed and permanently deleted immediately after conversion. No data is retained or used for any purpose beyond delivering your result.
In all cases: we never sell, share, or distribute your documents or their contents to third parties. Your files are yours.
How We Use Data to Improve Our Service
Like many technology companies, we use operational data from our free tier to make CleanTably better for everyone. Specifically:
- Extraction accuracy: We analyze document structures (column layouts, header patterns, table formats) to improve how our AI reads different document types. This uses structural metadata only — not the actual content of your invoices, receipts, or financial data.
- Error patterns: When extractions fail or produce low-quality results, we review the structural cause to prevent similar failures.
- Document type coverage: Understanding what types of documents users upload helps us prioritize support for new formats.
This is the trade-off of a free tier: you get a powerful tool at no cost, and we get aggregate insights that make the tool better. If you prefer that no data be used for improvement, our paid tiers offer that guarantee.
Data Security
Your documents are transmitted using TLS 1.3 (256-bit encryption). Files are processed in isolated, encrypted environments on secure cloud infrastructure and are not accessible to our team during processing. We follow industry-standard security practices including strict access controls and automated purge protocols.
Cookies and Tracking
We use the following tracking technologies:
- Google Analytics 4: Website traffic analysis, conversion tracking, and feature usage. You can opt out via Google's opt-out browser add-on.
- Microsoft Clarity: Session recordings and heatmaps to understand how users interact with the interface. Clarity automatically masks sensitive content in recordings.
- localStorage: We store preferences (theme, visit count, user ID) locally on your device. This data never leaves your browser unless you explicitly interact with our service.
Third-Party Services
We use the following services to operate CleanTably:
- Cloudflare: Website hosting (Cloudflare Pages) and content delivery.
- Google Analytics & Google Ads: Traffic analysis and advertising.
- Microsoft Clarity: Session recording and UX analysis.
- OpenRouter / Google AI: AI-powered document extraction (processing only, no data retention by these providers beyond their standard processing terms).
- Railway: Backend processing infrastructure (isolated containers with encrypted networking).
- Formspree: Email capture and form submission processing.
Your Rights
You have the right to:
- Request access to the personal data we hold about you.
- Request deletion of your personal data and any uploaded documents.
- Opt out of analytics tracking (see Cookies section above).
- Opt out of marketing communications at any time.
- Request that your data not be used for service improvement (upgrade to a paid tier).
California Residents (CCPA)

Changes to This Policy
We may update this policy as our service evolves. We will update the "Last updated" date at the top. For material changes, we will notify users via email if we have their address on file.
